How Outwerk works: continuous adoption, one workflow a month

Audit. First workflow. One a month.

AI needs context, so nothing is replaced on day one. The system runs alongside what you have, learns your rules and your exceptions, and takes work over one workflow at a time. Each month ends with a number you can read.

01Week 0

The busywork audit.

Thirty minutes on a call. We walk through one typical week: what gets typed twice, chased three times, or compiled by hand on Friday. We count the hours, put a cost on them, and name the one workflow that should go first.

  • Free, and not a sales deck
  • No technical brief. You do not need to know what to build
  • You leave with a number: hours and dollars a month, in writing within 24 hours
USD

An estimate of current cost, not a promise of savings. Times × minutes × people × 52 ÷ 12.

02Weeks 1 to 2

The first workflow, on your real data.

We build the first workflow inside the tools you already use and test it on your real data, with your team, before you pay. Nothing is switched off. The system runs alongside what exists and takes over when your team says it is ready.

  • Accounts opened in your name
  • Human review wherever money or a customer is touched
  • Acceptance on your data, then the invoice

03Every month

One more workflow. Measured.

Each month we move one more piece of repeat work onto the system, measure the whole thing against the agreed numbers, and send a short report. The system learns your exceptions as it goes, so each workflow is faster than the last. Miss the number in a month and that month's run fee is credited.

  • One named lead, response targets in writing
  • Monthly report: the number, what changed, what is next
  • Your team trained as each workflow moves, so adoption sticks

The method

A company becomes AI-first one process at a time.

The way it once became computerized: with the people who do the work, not around them. By month twelve the repeat work runs itself and your people are on the work that needs people.

Week 0

The audit

A typical week, mapped. The number agreed.

Weeks 1 to 2

First workflow

Built on your real data. Tested by your team before you pay.

Every month

One more workflow

Moved, measured, reported. The system learns your exceptions as it goes.

Month 12

AI-first operations

The repeat work runs itself. Your people are on the work that needs people.

Hours returned, cumulative0hrs by month 12

Illustrative program: one workflow a month at thirty to one hundred hours each. Your numbers are set at the audit.

Future-proof

Built on what doesn't change.

Models change every few months. We change them under the hood. The things that make the system yours don't move.

Your data

In accounts you own. Exported within thirty days if you ever leave.

Your rules

Every exception written down and tested, so the system behaves like your best person.

Your numbers

One agreed number per workflow, measured every month.

Your people

A human wherever money or a customer is touched.

What we need from you

Less than you think.

  • Thirty minutes for the audit, with the person who runs the work.
  • Access to the tools the workflow touches, in accounts you own.
  • One decision maker who can say yes within a day.
  • Honest feedback in the first two weeks. We fix what your team finds.

Questions, answered.

Do we need to know what to automate?

No. That is what the audit is for. Bring a typical week and describe it the way you would to a colleague.

Will this replace our software?

Not on day one, and never all at once. The system runs alongside what you have and takes over work as it is ready. If something should be replaced, you will know because the number says so.

What happens when the AI models change?

We change them under the hood. Your data, your rules, your workflows and your numbers do not move. That is the point of building on what does not change.

Who owns the system?

You own your data and your accounts from day one. Outwerk owns the platform and licenses it to you. Your configuration goes with you if you leave.

What if it does not work?

You do not pay for that month. The number is the contract.

How long is the contract?

Monthly. Cancel on thirty days' notice when the number stops making sense.

How is our data handled?

It stays in accounts you own. We sign a data processing agreement, we never train general AI models on your data, and we do not take health or other regulated data without a separate agreement.

Who does the work?

A small senior team, with one named lead and response targets in writing. No handoff to juniors, no outsourcing of your project. Mumbai, working across US and European hours.

How long does the audit take, and who should join?

Thirty minutes. The owner or operating lead, plus whoever runs the work day to day. No preparation beyond a typical week in mind.

What does the first two weeks look like?

Days 1 to 3: we map the workflow and agree the number. Days 4 to 10: we build and test on your real data. Days 11 to 14: your team uses it, we fix what they find, and you decide whether to pay and run.

Can you work with our IT provider or developer?

Yes. We document everything, use accounts in your name, and hand over cleanly if you ever want to take it in house.

Which AI providers do you use?

The provider that fits the job, under enterprise terms that exclude training on your data. We can substitute providers with notice and never lock you to one.
